Job Summary:

We are seeking a highly organized and proactive Personal Secretary to provide administrative and executive support to the CEO & Director. The ideal candidate will handle confidential matters, manage schedules, coordinate meetings, and ensure smooth daily operations.

Key Responsibilities:

  • Manage and maintain the executive’s schedule, appointments, and travel arrangements.
  • You will be working in two shifts—morning and night. Half of your time will align with US Pacific Standard Time (PST).
  • Handle confidential correspondence, emails, and phone calls professionally.
  • Handle Sales Navigator, HubSpot, Zoominfo, and LinkedIn.
  • Prepare reports, presentations, and meeting agendas as required.
  • Coordinate internal and external meetings, including note-taking and follow-ups.
  • Maintain and organize files, records, and documentation.
  • Act as a point of contact between the executive and internal/external stakeholders.
  • Assist in personal tasks, event planning, and other ad hoc duties as assigned.

Required Skills & Qualifications:

  • Bachelor’s degree in Business Administration or a related field (preferred).
  • Required Excellent Communication in English.
  • Proven experience as a Personal Secretary, Executive Assistant, or similar role.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Excellent organizational and multitasking abilities.
  • Strong problem-solving skills and attention to detail.

Preferred Qualifications:

  • Experience working with senior executives or in a corporate environment.
  • Knowledge of office management tools and procedures.
  • Ability to work independently and handle multiple priorities.
